By accessing the Site, registering an account, submitting website registration or intake forms, executing digital documents, or attending Wild Roots gatherings, you ("User," "Member," "Parent," or "Guardian") agree to be bound by this Agreement. If you do not agree, do not access the Site or participate in community activities.
1. Community Purpose & Structure
Wild Roots is a family-centered, nature-based homeschool community built around outdoor learning, connection, curiosity, practical skills, and movement.

No Drop-Offs: Wild Roots is strictly a family community. It is not a drop-off program, not a childcare facility, and not a licensed school.

Mandatory Parental Presence: Parents and legal guardians must remain physically present, on-site, and fully responsible for their participating children throughout the entirety of every meetup, hike, and gathering.
2. Community Code of Conduct & Culture
To maintain a respectful, enriching, and safe space, all members, adults, and children agree to uphold our community standards:

Kindness & Boundaries: Treat all participants and organizers with respect, honor personal space and boundaries, and encourage cooperation rather than exclusion or unnecessary competition.

Prohibited Behaviors: Bullying, intimidation, deliberate teasing, physical or verbal harm to any person or animal, and intentional destruction of natural spaces are strictly prohibited.

Conversational Boundaries: Our gatherings are focused on children, nature, learning, and friendship. Parents and guests agree to avoid gossip, political debates, religious disputes, and divisive or confrontational rhetoric during events and within digital forums.

Screen-Free Standard: Gatherings are intentionally screen-free environments to promote nature immersion and real-time connection.

Accountability & Resolution: When interpersonal conflicts arise, members agree to communicate calmly, directly, and privately with the individuals involved or seek organizer guidance. Wild Roots reserves the right to suspend, pause, or terminate the membership of any family whose conduct remains persistently disruptive or harmful.
3. Respect for Nature & Preparedness

Outdoor Stewardship: Nature is our classroom. Members agree to practice outdoor stewardship, pack out all trash, use natural materials responsibly, follow safety guidelines regarding fire, tools, plants, and water, and leave natural areas as they were found.

Weather & Personal Preparedness: Wild Roots meets in diverse, changing seasonal weather conditions (including rain, snow, heat, and sunshine). Parents are solely responsible for ensuring their family arrives equipped with appropriate seasonal clothing, footwear, gear, food, and water.

Organizer Adjustments: Organizers reserve the right to modify, relocate, postpone, or cancel any gathering due to severe weather, environmental hazards, or park closures.
4. Registration, Contributions & Refund Policy

Registration Workflows: Registrations, waivers, and family information are submitted directly via website registration forms and/or Adobe Fill & Sign electronic forms. By submitting any online registration form, you confirm that all information provided is accurate and complete.

Active Engagement: Parents are expected to actively engage with activities, games, setup, and cleanup alongside their children.

Attendance Expectations: Consistency builds community trust. Families agree to make reasonable efforts to attend scheduled gatherings and communicate absences in advance. Missing two consecutive gatherings without communication may result in forfeiting membership placement to a family on the waiting list.

Annual Community Contributions: The annual family contribution is $100 per family plus $20 per participating child 4 years of age or older. Contributions directly fund community supplies, nature tools, creative materials, and gathering logistics.

Refund Policy: Because community contributions are immediately allocated toward supplies, operational tools, and event preparations for the season, all membership contributions and event fees are non-refundable and non-transferable after September 9th 2026. Refunds must be requested via email prior to September 10th 2026 in order to receive a refund. If requesting a refund use the email listed in the Contact Information in section 12.
5. Website Access, Member Accounts & Online Conduct

Account Security: When creating an account via WordPress/MemberPress, you must provide accurate information and safeguard your login credentials. You are responsible for all activities occurring under your account.

Forum & Message Rules: Digital member areas are provided solely for event coordination, group correspondence, and community building. Users may not post commercial solicitations, spam, abusive language, or unauthorized personal contact details of other members.

Intellectual Property: All custom logos, lesson outlines, downloadable guides, itineraries, text, and graphics on the Site are the exclusive intellectual property of Wild Roots Kids in Nature LLC. They may not be reproduced, sold, or distributed for commercial purposes without prior written consent.
6. Inherent Risks & Assumption of Risk
Participation in outdoor, nature-based activities involves inherent physical and environmental risks that cannot be eliminated.

Environmental Hazards: These hazards include, but are not limited to, uneven or slippery terrain, rocks, fallen timber, roots, water bodies, weather extremes (heat, sun, cold, snow, rain, wind), physical exertion, falls, insects, wildlife, native plants, and the use of basic outdoor tools.

Voluntary Participation: You acknowledge these inherent risks, voluntarily choose to participate, and voluntarily permit your child(ren) to participate. You assume full responsibility for your own physical safety and that of your minor children.
7. Release and Waiver of Liability
To the fullest extent permitted by applicable law, you, on behalf of yourself, your minor children, heirs, and legal representatives, hereby release, waive, discharge, and hold harmless Wild Roots Kids in Nature LLC, its owners, members, organizers, instructors, assistants, volunteers, and hosting property owners (collectively, the "Released Parties") from any and all liability, claims, demands, actions, or costs (including legal fees) arising out of ordinary negligence, personal injury, illness, property damage, or loss sustained during or related to Wild Roots gatherings or digital interactions.
Nothing in this Agreement is intended to waive or release claims arising from gross negligence, willful misconduct, or any statutory liability that cannot be legally waived under Utah law.
8. Medical Authorization & Emergency Care
Wild Roots is not a medical provider and does not administer medical care. In the event of an acute injury or medical emergency where a parent or guardian cannot be reached immediately, you authorize Wild Roots organizers and designated volunteers to secure professional emergency medical treatment or transport. Any financial costs or expenses resulting from emergency care or transportation remain the sole responsibility of the parent/guardian.
9. Media & Photography Consent
Photographs and videos may occasionally be taken during gatherings to document community activities, update members, and communicate the mission of Wild Roots Kids in Nature LLC.

Media Permissions: Media consent is selected and recorded upon registration through our website forms and/or Adobe Fill & Sign documents.

Consent Terms: If granted, you permit Wild Roots to publish images and recordings of you and your participating children on our website, social media, and newsletters without compensation.

Opt-Out & Group Settings: If you opt out, Wild Roots will make reasonable efforts not to photograph your family. However, you acknowledge that incidental inclusion in wide group background photos may occasionally occur. Prospective withdrawal of media consent must be submitted in writing and will not apply to previously published print or digital media.
10. Modifications to This Agreement
We reserve the right to update, modify, or revise this User Agreement at any time. Any changes will take effect immediately upon being posted to the Site with an updated "Last Updated" date. Your continued access to the Site, active membership status, or attendance at gatherings constitutes full acceptance of the updated terms.
11. Governing Law & Dispute Resolution
This Agreement is governed by and construed in accordance with the laws of the State of Utah, without regard to conflict of law principles. Any dispute, claim, or controversy arising out of or relating to this Agreement or community participation shall first be addressed through informal, good-faith negotiation. If unresolved, legal proceedings shall be brought exclusively in the state or federal courts located in the State of Utah.
